Paperless CAP Inspection?

I'm looking for any input on going paperless specifically for an inspection.  Right now we are able to download the CAP checklist in Word form and edit it to insert policies specific to the checklist question.  That's is fine for our self-inspections where our team all has access to a shared network folder, but we have to print out the checklists still for any outside inspectors and we're trying to eliminate that.  Some ideas are a secure public drop box like Google, but if there where ANY PHI we'd be out of compliance and setting ourselves up for trouble.  Another is issuing hospital laptops or designated work stations to the inspection team, but that is not ideal.  Any other ideas?!?

Hello Lori
CAP rolled out a virtual inspection process that has the drop box options and remote access plans.  Log-in and take a look

This has some of the components that you have listed.
Good Luck!

Hi,
Could you also create a SharePoint site in your hospital system?  That way everything would be in one spot if you want to upload the documents to the CAP SharePoint site for an inspection.  We just subscribed to Medialab's Inspection Proof module and am finding it to be quite wonderful.  I just inspected an offsite lab and it went great.  We are still not allowed to upload any documents with PHI but if you have Medialab document control, you can link procedures to each CAP question very easily and as you update the procedures, the CAP link is updated as well.

Thanks for both of those suggestions.  I will check them out!

Lori,

We are also using MediaLab's Inspection Proof. This will be our second inspection using this program and ALL of the inspectors during the last round raved about how much easier and efficient it made everything. We are currently being inspected via a hybrid inspection (started today). The inspectors will have guest inspector accounts in MediaLab to review all linked documents for two full weeks and anything containing PII will be pulled upon request and available to inspectors when they arrive on the actual inspection date.
