Large facility with Telcor QML and automated recertification's - How do you?

We are in the process of replacing our current POC middleware (Pweb) with Telcor QML.  We have completed the interface build for a number of analyzers and have begun working on the eLearning to Telcor QML auto recertification interface.  We are a larger system with >5000 users. 

Our current recertification for the glucometers through Pweb:
Steps: 
  1. Elearning is completed and uploads every night to Pwep.
    • This automatically adds any new hires that are not in the system with an expired status (no access).
  2. SuperUsers" complete an observed test with the user and adds in two separate fields: the users ID and a special code signaling the system to certify the user for 12 months.  This certifies both new users and recertifying users regardless of their current access (expired or active).
if the users completes both steps correctly the process is completely automated, the lab doesn't have to do anything.

What I'm being told with Telcor QML that can be setup for glucometers:
Steps:

  2. "SuperUsers" complete an observed test with the user
  • If the user currently has active access the system will automatically recertify them
  • If the user is new or has expired the SuperUser must notify the lab to MANUALLY add them access.  This would require the lab to manually update hundreds of users every month.  I am interested in if anyone knows of a way to automate this further.  How are you doing this?  Manually updating 300 users every month is far from ideal.

I currently have StatStrip, CT Status, and Waived ISTAT set up to auto-recert through QML.
All kit test Occult Blood, Urine preg...etc are set up to auto recert through our online learning management system (netLearning).
We are currently adding elearning to bridge the gap between NetLearning and QML.

Sylvia,  do know of a way to automate the recertification process within QML so that the new/expired users do not need to be manually added?

Sylvia,  what is the exact process/steps that a new hire has to do to gain access to the Nova Statstrip?  Does anyone have to manually update their account in QML in any of these steps?

Okay got it.
Currently every POC operator receives training during corporate orientation by POC. 
They are manually entered into QML and set up to auto-recert on their annual competency date, if the requirements are met.
Once eLearning is in place,  training will be done in NetLearning by an online module and the user created in QML via a elearning report.
 We have not went live with elearning yet. 

This topic is of great interest to me and my co-workers.  Like Jeremy, we manage >5,000 POCT operators.  Occasionally we get IT support to input a large batch of operator updates to our Cobas database.  Other than that, all operator management is done MANUALLY in several device-specific data management systems.  We are not connected to our employee education system (LearningSpace) in any way.  We get notifications on paper.

We have been using QML to manage test results for many, many years.  We are able to update iSTAT and CoaguChek XS Pro operators through QML.  However, we do not have the module which would allow us to manage operators in QML and send updates to other device managers (like Cobas IT1000).  If you auto-recertify and manage operators through QML, please post your experiences here.  Some of us want to learn from you!

I auto-recertify and manage through QML.

We have had the the QML elearn interface for years and use it to manage all operators in all test systems. New operators get added each day - we also get operator updates if there's a department change or name change and terminated employees get inactivated. 

We get the elearn system messages for all training and competency activities. Annual competency updates happen automatically and the operator get a new outdate for X amount of months, depending on what we have set in QML. 

New operators - while these do add automatically to QML, adding test privileges and activating the operator is manual. I am not aware of a way
to have this happen automatically. We have our educators email us when the new operator has completed the elearn and received hands on 
training. 

We don't have that many operators but it depends on which glucometer you have.  I know with Nova in addition to adding the operators you have to add privileges to the operator before they can test.  QML has the ability to automatically update operators based on the criteria you set up, but only the ones with privileges already added will have access to the meter.  To my knowledge adding the privileges is a manual process.  I am not sure if other glucometers require the 2 steps for new operators or not.
